About the Role
Do you love tourism, people, and making things run smoothly? Muskoka Tourism is looking for an Administration & Member Services Manager to keep our organization on track, support our members, and ensure the details behind the scenes are handled with care.
This is a role for someone who thrives on variety. One day you might be working on invoices or updating our CRM, and the next you’re connecting with members or posting new content to the website. As part of a small but passionate team, you’ll be at the centre of our operations, helping us champion Muskoka as a world-class destination.
Key Responsibilities
Administration & Operations
- Keep day-to-day office operations, systems, and processes running smoothly.
- Handle financial administration including invoicing, accounts payable/receivable, expense tracking, and daily banking.
- Work with the bookkeeper on reconciliations, reporting, and year-end prep.
- Support the Executive Director with administrative tasks as needed.
- Manage email, mail, and other essential office functions.
Member Services
- Be the go-to contact for our members—offering support, solutions, and connection.
- Oversee our membership CRM: records, renewals, invoicing, and database accuracy.
- Develop creative engagement strategies to keep members involved and supported.
- Coordinate member communications including newsletters, updates, and outreach campaigns.
- Assist with planning and delivering member events and the annual meeting.
- Identify new tourism businesses and invite them to join Muskoka Tourism.
Marketing Support & Visitor Services
- Update our CRM and WordPress website with member packages, events, listings, and blog content.
- Oversee distribution of the Muskoka Visitor Guide.
- Respond to visitor inquiries via chat and email with warmth and helpfulness.
Qualifications
- Post-secondary education in business administration, communications, or related field.
- 5+ years of experience in administration, member services, or office management.
- Strong financial administration skills (invoicing, tracking, reporting).
- QuickBooks, Simpleview, and WordPress experience is an asset (or eager to learn)!
- Excellent communication and relationship-building skills.
- Organized, detail-oriented, and able to manage multiple priorities.
- Passion for Muskoka and understanding of the tourism sector.
- You enjoy working on a small, nimble team
- Bonus: Experience in nonprofit association management or tourism organizations.
